Guest shuttles are the most common piece of Chicago wedding transportation that couples underplan. If 80 guests need to move from a downtown hotel to a venue three miles away, and you've booked one 30-passenger shuttle making one loop — you have a problem. Here's how to plan it right.
Do You Actually Need a Guest Shuttle?
Guest shuttles make sense when: (1) the venue has limited or expensive parking, (2) the ceremony and reception are at different locations, (3) your guests include a significant number of out-of-towners unfamiliar with Chicago's layout, or (4) you want guests to enjoy an open bar at the reception without worrying about driving.
If the ceremony and reception are at the same venue and there's ample parking, you may not need shuttles at all.
How to Calculate Shuttle Capacity Needed
Start with the number of guests who will need the shuttle (not all guests will use it — some will drive, take a taxi, or use rideshare). A reasonable estimate: 40–60% of your guest count will use the shuttle at peak times. Then factor in the loop structure:
- A 30-person shuttle running 3 loops can move 90 people
- A 50-person charter running 2 loops moves 100 people
- Two 30-person shuttles running 2 loops each moves 120 people
Timing the Loops
Allow 20–30 minutes per loop for a typical Chicago venue distance (hotel downtown, venue in the suburbs or River North). At least one loop should depart 30 minutes before the ceremony start time. End-of-night shuttles need 2–3 loops staggered 30–45 minutes apart — guests don't all leave at once.
Communicate the Schedule to Guests
Put the shuttle schedule in your wedding website, in the invitation packet, and at the hotel front desk. "Shuttle departs from the hotel lobby at [time]" should appear at minimum three times. Guests who miss the shuttle and have to arrange rideshare during a Chicago wedding are one more stressor you don't need.
